Approve a catalogue or report by checking how its information connects across pages. Product names must agree with tables and captions, contents pages must lead to the right sections, and the final export must include the intended cover and blank pages. Binding is important, but it cannot repair inconsistent content.

Establish one source for repeated information

List the items that appear more than once: product identifiers, section names, contact details, chart labels and page references. Choose an approved source for each. If a catalogue uses several artwork contributors, give them the same naming convention rather than allowing each section to invent abbreviations.

Track changes where information is repeated. A revised product title in a main table should prompt a check of the relevant photograph caption and index. For a report, the person responsible for a figure should approve its meaning; the layout reviewer checks presentation and consistency.

Review tables in their final setting

Find the densest table and longest caption. Check them at the proposed printed size. Look for wrapped units, separated headings and footnotes that become hard to follow. A spreadsheet that is readable on a wide monitor may become cramped in the final page layout.

When a table continues on another page, repeat the information the reader needs to understand it. Keep the order and terminology consistent. Print an ordinary proof if necessary to assess reading comfort, while remembering that it is not a physical colour or material sample for the finished publication.

Check navigation after pagination settles

Recheck the contents, index, chapter starts and references after the last layout change. Adding a page can shift every later reference. Do not approve navigation based on an earlier export, even if the visual changes seem minor.

List covers separately when discussing the page count. Include intentional blanks in the sequence and label them in the brief. Adobe’s booklet settings guidance shows that imposition and blank spreads are distinct settings; ask for the job’s supply instructions rather than rearranging pages without agreement.

Inspect the exported publication

Open the actual PDF from start to finish. Check the first and last pages, section transitions, small text and photographs that cross a bound edge. Keep a record of unresolved questions alongside the revision name, not hidden in several comment chains.

The Preflight tool checks technical PDF properties. It does not know whether a chart has the correct interpretation or whether a product remains part of your range. Complete the factual approval separately and remove old comments and placeholders from the final handover.

Brief the finished reading experience

State dimensions, orientation, total pages, cover arrangement, quantity and preferred binding. Explain whether the publication should stay open for reference, fit into a pack or be kept on a shelf. Where a defined spine is wanted, request its confirmed size after the construction is agreed.
