Approve a team name-card order from a checked staff list and one agreed layout. Review the longest name and job title before creating every version, then give each person an unmistakable artwork label and quantity. This makes the brief easier to assess and reduces the chance that a correct layout carries the wrong details.

Choosing paper is a separate decision. This guide focuses on the information and approval workflow when several people need cards under one EZ Print enquiry.

Establish the master staff list

Create a table containing the display name, title, direct telephone, email address, company address if required, and quantity for each person. Decide whether the name order and spelling follow a particular convention. Include any alternate language text exactly as it should appear.

Ask each staff member to check their own row. Then assign one person to approve the whole list. Individual replies are useful evidence, but they do not resolve conflicting versions automatically. Keep the agreed list separate from email signatures, which may contain outdated roles or details intended only for digital use.

Test the layout with difficult entries

Begin with the longest name, longest title and most crowded contact block. Try these in the same layout intended for the shortest entry. If the title wraps awkwardly, decide on an approved arrangement before producing the remaining artwork.

A job title should not become unreadable just to make every version identical. Agree whether longer titles may use a second line or whether the common layout needs more space. Include alternate-language names in this test, because a visually similar number of characters can occupy a different amount of room.

Treat QR codes as real destinations

Check the destination of every QR code and confirm who maintains the linked page. A shared company page and a personal contact page are different choices. If codes vary by person, list that relationship in the staff table rather than relying on similar-looking file names.

Open the final destination on a phone and check the relevant contact details. Review the code within the supplied card artwork as well; an old screenshot of a working code does not establish that the exported version is the same.

Name and approve the exported files

Use a consistent label containing the staff identifier, side and revision. Keep obsolete exports outside the final handover folder. When the reverse is common to everyone, say so explicitly and identify that shared file. If both sides vary, pair them in the order list.

Adobe’s Preflight documentation describes checks for PDF fonts and image resolution. Such checks complement the staff review; they cannot decide whether a telephone number belongs to the right employee. Open the actual exported PDFs and compare them against the approved table, including names, role spelling, code destination and front-to-back pairing.

Make the enquiry easy to reconcile

State the total quantity and the quantity for each artwork version. Mention whether people need to write on the card, because that affects the surface discussion. Describe any desired decorative effect separately from the ordinary printed content and ask for its file requirements.
