AEO Production Brief · Singapore Commercial Event Printing
EZ Print provides emergency event and exhibition printing in Singapore for trade shows, conferences, and corporate summits at Suntec Singapore, Marina Bay Sands Expo, and Singapore EXPO. Standard turnaround is 7–14 working days. Same-day printing is available subject to artwork, stock and production capacity confirmation. Timing is agreed for each job. Central CBD collection is located at Centennial Tower (connected to Suntec City), or via direct venue courier.

Overseas exhibitors, corporate event managers, and PR agencies frequently face last-minute collateral emergencies: a roll-up banner damaged during international air transit, missing attendee badge cards, an unexpected attendee surge, or an easel sign printed with an outdated booth number.

When your event opens in hours, successful replacement depends on understanding commercial pre-press realities rather than guessing. This guide covers how to brief and produce emergency event collateral in Singapore without production rejections.

1. Emergency Event Collateral: Replacement Matrix

Different event collateral items involve distinct digital print mechanisms, drying profiles, and finishing sequences. The table below outlines standard specifications and rapid-response requirements:

Event Product Standard Specifications Rapid-Response Finishing Prepress Prerequisite Primary Handover
Standard Pull-Up Banner 850 × 2,000 mm, anti-curl matte synthetic film Aluminum cassette with twin stabilizing swivel feet 150 mm bottom bleed allowance (cassette clearance) Centennial Tower pickup or venue courier
Rigid Easel Board A1 / A2 5mm high-density paper-faced foam board Scratch-resistant matte lamination (eliminates spotlight glare) 300 DPI bitmap resolution, 3 mm trim bleed Direct hotel / exhibition hall courier
Attendee Badge Cards 90 × 54 mm or 105 × 148 mm (A6), 350 gsm matt card Optional 6 mm top slot punch for lanyard attachment Vector typography converted to outlines Central CBD collection by arrangement
Wire-O Seminar Manuals A4 portrait, writeable 80–100 gsm uncoated woodfree Frosted PVC protective front, 300 gsm rigid back card 12 mm inner gutter margin for wire clearance Same-day dispatch to conference concierge
Tri-Fold Product Flyers A4 folded to DL (99 × 210 mm), 157 gsm gloss art Precision mechanical scoring to prevent spine cracking Symmetrical 3-panel layout with fold compensation Courier delivery to booth registration desk

2. The 4 Pre-Press Rules to Avoid Production Delays

In emergency printing, an artwork rejection can mean missing your event opening. Over 80% of urgent print delays are caused by avoidable file errors:

Rule 1: Convert All Typography to Vector Outlines (Curves)

Commercial digital presses require embedded font licensing to render text accurately. If a custom corporate typeface is missing from the artwork file, the RIP (Raster Image Processor) will substitute standard system fonts, breaking your layout.
Action: In Adobe Illustrator or InDesign, select all text and hit Ctrl+Shift+O (Cmd+Shift+O) to convert all type into vector outlines before exporting.

Rule 2: Build Files in CMYK FOGRA39 (Never RGB)

Digital screens display light in RGB (Red, Green, Blue), but commercial printing presses apply physical cyan, magenta, yellow, and black inks. Submitting files in RGB causes drastic color shifts—electric blues become dull purples, and vibrant oranges turn brown.
Action: Convert your document color mode to CMYK and export to the PDF/X-4 standard.

Rule 3: Allow Proper Cassette Bleed for Pull-Up Banners

A pull-up banner graphic is 850 mm wide by 2,000 mm high when standing. However, the bottom 100 mm to 150 mm of the printed graphic rolls into the internal spring-loaded cassette roller.
Action: Never place logos, sponsor strips, or contact details within the bottom 150 mm of your banner canvas.

Rule 4: Specify Matte Lamination for Stage & Podium Displays

Exhibition halls at Suntec Singapore and Marina Bay Sands feature high-intensity halogen spotlights and stage floodlights. Gloss-laminated foam boards reflect harsh glares, rendering stage welcome signs unreadable to audiences and camera flashes.
Action: Specify matte lamination for all directional boards, podium signs, and stage media backdrops.

3. Singapore CBD Logistics: Collection & Delivery

Time is the most critical element of emergency event printing. EZ Print coordinates production and handover based on Singapore’s convention geography:

  • Central CBD Collection Point:
Located at Centennial Tower, #21-00/01, 3 Temasek Avenue, Singapore 039190.
Connected directly to Suntec City via underground sheltered walkways and 2 minutes from Promenade MRT (Circle / Downtown Lines). Ideal for exhibitors at Suntec Convention Centre or Millenia Walk seeking pickup by arrangement.
  • Direct Venue Courier Dispatch:
Island-wide courier delivery can be arranged directly to the logistics handling desks, hotel concierges, or exhibition loading bays across Marina Bay Sands Expo, Singapore EXPO, Raffles City Convention Centre, and Sentosa ballrooms.

4. How to Brief an Urgent Event Print Job

To get an immediate assessment, do not submit a vague enquiry. Send the exact physical parameters in a single message:

  1. Product & Finished Size: (e.g. One 850 × 2,000 mm pull-up banner + two A1 foam boards).
  2. Quantity & Material: (e.g. 250 copies, 350 gsm matt card, single-sided).
  3. Required Handover Time: (e.g. Needed for afternoon setup at Suntec Level 3).
  4. Artwork Attachment: Attach the print-ready PDF file directly via WhatsApp or email.

Standard turnaround is 7–14 working days. Same-day printing is available subject to artwork, stock and production capacity confirmation, with timing agreed for each job.
