Plan hospitality print around how information changes and how the item is handled. A menu, table card and placemat have different reading positions and replacement needs. Choose the format after deciding what remains constant and what your team expects to update.

Separate permanent and changing information

List the details that stay the same and the details likely to change. A brand introduction may remain useful while menu items, seasonal messages or event content change. Consider whether one replaceable printed element can carry changing information without rebuilding the whole presentation.

Keep the responsible person’s approved wording together in one source. Mark regional, outlet or language versions explicitly. Do not leave the printer to determine whether similar-looking menus contain deliberate differences or outdated content.

Design for the reading position

A handheld menu is read differently from a tabletop card or wall board. Check the smallest important text in the actual planned layout and from the intended position. Give headings and navigation enough clarity that the reader can find a section without scanning every paragraph.

For a folded menu, make a paper dummy and review the open sequence. For a book format, think about page turning and whether information near the binding becomes awkward. For a table card, review both viewing directions if customers sit on opposite sides.

Describe handling and cleaning conditions

Explain repeated handling, exposure and the intended cleaning routine so the material-and-finish combination can be assessed. A glossy illustration does not establish wipeability, resistance or suitability for every cleaning product.

If the item needs a writable area or replaceable insert, identify it before selecting finishing. State which part is printed and which holder or cover you already have. A menu book may be a complete item or replacement pages, so keep those scopes distinct.

Approve the content with its owner

Check item names, descriptions, dietary or product statements and any required information against approved content. Obtain the relevant professional review where needed; this guide does not determine those statements. Keep all such wording consistent across related menus and promotional table cards.

Check line breaks and spacing after the final update. A longer description can force another item into a confusing position even when the text itself is correct. Review the exported PDF, not only the editable source.

Organise versions and future replacements

Label each artwork by use, language or outlet and list quantities separately. Keep the current revision identifiable so an old file does not enter a repeat order accidentally. Adobe’s Preflight guidance supports technical export checks, while the approved menu source remains the reference for content accuracy.

If replacement pages must fit a holder, provide actual measurements and connection details. Ask for the confirmed template before relying on a binding or punched area. Retain that reference for the next update.
