Urgent Printing Checklist: Key Brief Priorities

For an urgent print enquiry, identify the essential item, the actual required date and the decisions still unresolved. Tell EZ Print whether the artwork is approved and which physical requirements must stay fixed. A clear minimum scope is easier to assess than a broad request whose content keeps changing.

Separate the deadline from the occasion

State when the printed item must be usable, not only the date of the meeting or event. Explain any time needed for your own packing, checking or distribution without assuming those tasks are included. Give the actual requirement and ask what can be assessed.

Keep the essential use visible. If the event needs an information sheet, a decorative accessory may be a separate priority. Decide which items are required for the event to function and which could follow another agreed arrangement. This is a planning decision, not a claim that a particular substitute is available.

Identify what is already approved

List the final text, image sources and layout decisions that are ready. Mark unresolved names, dates or versions clearly. A file called final does not establish that its content has been approved by the responsible person.

If artwork is still changing, explain the specific remaining correction. Assign one contact to coordinate approval so competing messages do not create parallel versions. Keep old exports away from the final handover and identify the approved revision in the written brief.

Keep physical requirements explicit

State finished dimensions, quantity per design, printed sides and any required finishing or attachment. Explain which details are essential and which are preferences that can be discussed. Do not approve a material change before understanding whether it affects writing, fit or another necessary function.

If the enquiry is for hardware, accessories or a replacement graphic, name that scope explicitly. Same-day printing wording does not establish the supply schedule or compatibility of mechanical parts. Ask for those requirements to be assessed separately.

Review the actual export

Open the supplied PDF and check the content that would be expensive or disruptive to correct later: names, event details, contact information and code destinations. Adobe’s Preflight documentation describes technical PDF checks. It cannot decide whether the event details are current or the intended content is approved.

Give the person approving the artwork a clear reference and a list of the remaining questions. If content changes after that review, identify the change and repeat the affected checks. An urgent request benefits from fewer unresolved decisions, not a skipped approval.

Obtain a job-specific timing confirmation

Use the same-day printing page and request a quote with the essential scope, artwork status, quantities and required date. Ask for availability and timing to be confirmed against that actual brief. Standard turnaround is 7–14 working days; an alternative schedule needs the job’s confirmation.

Retain the agreed scope and final artwork together. If the quantity, material or artwork changes, ask whether the earlier timing still applies. A practical urgent brief makes the decision concrete while preserving the checks needed for the finished item to be useful.
