Organise tickets, passes and vouchers around how they will be issued and checked. Define the artwork categories, identifiers and any detachable parts before approving the layout. A printed number or code is useful only when it agrees with the event or scheme’s actual process.
For an EZ Print enquiry, separate the physical item from admission, redemption or account systems. Printing does not operate those systems or establish the validity of the underlying scheme.
Describe the check at the point of use
Explain whether staff inspect the item visually, retain a portion, mark it or use a code. Identify the information they need first. A pass worn on a person may need prominent category text, while a voucher presented at a desk may need a clear issue reference and approved conditions.
Test the process with a paper example and someone who was not involved in its design. Ask them to identify the category and describe what happens next. Improve the instruction if they must infer the procedure from colour alone.
Keep artwork categories distinct
List each ticket or pass type with its title, design and quantity. Agree which visible differences distinguish categories. If colour carries meaning, include readable text as well so the user does not rely solely on recognising a shade.
Review variable event names, dates and participant details against approved records. If names are included, check the longest example in the layout. Keep common artwork separate from changing information so the required scope is clear.
Define identifiers without assuming a service
If serial numbers are required, record the proposed format and ask whether numbering can be assessed for the job. Identify the owner of the number list and how duplicates or gaps will be checked. A number printed correctly can still be assigned to the wrong record.
For scannable codes, obtain the actual symbols or agreed generation requirements from the responsible system. GS1 guidance highlights contrast around a two-dimensional symbol. Preserve the applicable clear area and check the intended scanning arrangement; an ordinary phone scan is not a substitute for system testing.
Mark detachable and attachment areas
Show any stub, perforation, punched hole or fastening requirement on the layout. Ask for confirmed positions and clearances. Essential text should remain useful on the part the holder keeps and on any portion staff retain.
For an event pass, identify whether a lanyard, holder or clip is required separately. Do not infer attachments from the illustration. For a wristband or bib, describe the item and its practical use rather than treating every event identifier as a paper ticket.
Approve wording and exported files
Get benefit, admission and limitation wording approved by the responsible organiser. Check that it agrees across related pieces. Adobe’s Preflight documentation supports technical artwork checks, but it does not validate the event rules or data assignments.
Use the product directory and request a quote with categories, quantities, identifier requirements, attachments and approved artwork. Confirm the actual construction and included scope. Keep physical production approval and event-system readiness as separate decisions before the items are issued.
