Choose one person to coordinate approval
Ask the family or responsible organiser to nominate a contact who collects corrections and confirms the final content. Several people can help proofread, but one approval reference reduces the chance that conflicting drafts are treated as equally current.
Keep the agreed name, preferred form of address and dates together. If text uses more than one language, have the relevant reader approve spelling and meaning. Do not assume a decorative typeface makes every character clear or appropriate.
Select portraits carefully
Find the best available source for the chosen portrait and identify the intended crop. Keep a copy of the unedited original and show the proposed view for approval. A small image received through a messaging app may have less detail than its original, so ask whether a larger source is available.
Explain any requested treatment without assuming that it is included in the printing scope. Review the final portrait within the actual layout. The person responsible for approval should recognise the intended image and agree with how it is presented.
Check readings and acknowledgements
Obtain the final text from the responsible organiser, faith representative or other appropriate source. Check names in acknowledgements and the order of readings or proceedings. If a passage needs permission or professional review, resolve that separately before artwork approval.
Keep the tone consistent across the front, inside and reverse. A card and a programme may share a portrait but carry different information. Avoid importing celebratory invitation language simply because an earlier layout offers similar decorative borders.
Make the sequence easy to follow
List every page or panel in order, including intentional blanks and covers. Fold an ordinary paper dummy to check how a reader encounters the content. Keep small text and important names away from the fold or binding area using the confirmed artwork instructions.
Adobe’s booklet preview guidance distinguishes visual page review from settings checks. Use both ideas when preparing the file: read the actual export, then compare its order and count against the approved list. A checking copy does not predict the final material or colour.
Keep practical decisions clear
State the finished size, quantity, printed sides or page count and any preferred paper feel. Explain whether the item will be kept as a card, followed during a service or placed into another pack. Ask for the exact construction and job timing to be confirmed without assuming an urgent request is already accepted.
Browse the product directory and request a quote with the approved content and proposed format. Retain one final artwork revision and approval record. A respectful process gives each correction a clear place and prevents an older attachment from replacing information the family has already checked.
