Choose a promotional item by how the recipient will use it, then define what the printed area should communicate. A mug, badge, magnet and hand fan offer different surfaces and interactions. A common logo does not make them interchangeable production requests.

Start with a useful role
Explain the audience and setting. Is the item used during an event, kept on a desk or handed over as a reminder? Choose one main message that fits that use. A useful object with a readable identity can be easier to understand than one crowded with every campaign detail.
Consider whether the information should remain relevant beyond the event. A date-specific message might be appropriate for a keepsake but less useful on an everyday item. Decide intentionally rather than copying an old campaign layout onto a new object.
Identify the blank and its components
Provide the actual item reference or describe the required dimensions and construction. For a badge, identify fastening needs separately. For a magnet or keychain, explain the intended attachment or use. Ask which pieces are supplied as part of the assessed item.
Do not assume a container’s contact suitability, a fixing’s holding behaviour or a finished object’s care properties from a category name. If a particular requirement matters, state it and obtain the relevant confirmation for the complete construction.
Show the usable printed area
Ask for the actual artwork template or dimensions before finalising placement. Curves, handles, edges and fixings can change the visible area. A flat rectangle shown on screen may wrap around an object or disappear behind part of it.
For a mug, identify the desired viewing orientation in relation to the handle. For a badge, check essential text within the finished visible face. For several surfaces, show each artwork position separately rather than treating one reference image as a full specification.
Keep artwork and colour expectations clear
Use the original logo or image source where possible. Identify any small text that must remain readable. Adobe’s Preflight documentation discusses technical checks for fonts and image resolution in PDF artwork; the approved supply format still depends on the actual item and decoration process.
Describe which visual features matter most. Ask how the proposed construction can be reviewed instead of expecting a digital mockup to prove exact colour or physical texture. A source image can communicate an idea while leaving several production choices unresolved.
Organise versions and packing requirements
List quantities for each design, colour or other variant. If names change, ask whether that scope can be assessed and how data should be approved. State any packing or assembly requirement separately; do not infer individual packaging from a promotional photograph.
Keep the approved artwork revision and item reference together for later enquiries. When a repeat item must match, explain the specific features that matter and provide the original reference where available.
