How to Brief a Print Product You Can't Name

What physical measurements, photos, and tactile descriptions to provide when requesting a quote for an unknown print product.

You do not need a perfect catalogue name to begin a useful enquiry. Show the item, describe what it does, measure the parts you can identify and explain the result you want. Keep uncertainty visible so EZ Print can assess the product identity and scope before discussing a confirmed construction.

This guide is especially useful when a reference combines printing, hardware, an attachment and assembly. An approximate name should not become an assumed specification.

Photograph the item as a whole and in parts

Begin with an image showing the finished item in use. Then include close views of folds, joins, openings, attachments and printed faces that matter to the request. Label the images so the person reviewing them knows which details belong together.

Avoid sending only a cropped visual that hides how the item works. A neat front view may conceal the holder, folded reverse or attachment needed to identify it. If the reference is an illustration rather than a physical sample, say so explicitly; the depicted construction remains a question.

Describe the action in ordinary words

Explain whether someone holds it, writes on it, inserts a document, hangs it, attaches it to a product or replaces a graphic. Give the setting and audience. A purpose such as holding a folded information sheet is more useful than guessing a product title that may mean something else.

Identify what is essential to the result and what is only a visual preference. If the sample’s exact construction is not required, say which function needs to match. This allows the enquiry to assess alternatives without silently replacing an important requirement.

Measure the relevant boundaries

Record the overall size and any receiving or visible area separately. For a folded piece, show open and finished dimensions. For a holder, measure the space that accepts the insert. For a package, identify the filled-product size rather than the artwork size alone.

A manufacturer’s display reference distinguishes overall dimensions and graphic templates. The same principle helps with unfamiliar items: determine which measurement describes the part you actually need, and do not borrow dimensions from a similar-looking product.

Separate the components

List printed faces, base material, frames, fasteners, inserts and other accompanying pieces. Mark which you need supplied, which you already have and which remain uncertain. Hardware-only, graphic-only and a complete package are different enquiry scopes.

For material, describe the observed feel and appearance without declaring a stock name you cannot verify. A paper data sheet records several distinct properties; a visual guess does not establish them. Where matching matters, identify the particular property to assess.

Ask for identity before detailed artwork

Use the reference to establish the likely construction and required confirmation. Request the appropriate template or file instructions after the scope is understood. Creating detailed artwork around a guessed fold, hole or frame can create unnecessary rework.

Browse the product directory for related ideas, then request a quote with the reference, quantities and intended use. State unknown details directly. Some source identities remain under review in the local catalogue; they should stay provisional until the actual item and fulfilment are established. A useful brief turns that uncertainty into specific questions instead of presenting a guess as an available product.
