Prepare an NCR form brief by deciding who needs each copy, how the completed set will be separated and how your team will identify it later. “Duplicate book” is only a starting point: the page size, copy sequence, numbering and book construction all affect daily use.

NCR forms are commonly described as carbonless forms. They create copies across multiple sheets without inserting a separate carbon sheet. A current carbonless-paper manufacturer page describes this multipart use. The appropriate paper construction and printing process still need to be confirmed for the job.

Follow one completed form through the business

Imagine a delivery note or service record being completed by your Singapore operations team. Who receives the first copy? Which copy goes to administration? Does one remain in the book? Decide the sequence before designing the page.

Use clear copy labels if they help staff, such as “Customer copy” or “Office copy”. If a particular copy needs different wording, identify that difference explicitly. Do not assume that every sheet should carry identical content or that colour alone will explain the workflow.

Ask which copy colours and constructions are available for the proposed specification.

Distinguish sheets, sets and books

A multipart set is one completed form with its associated copies. A book contains a stated number of sets. These are different units, so use both when describing your quantity.

For example, a three-ply set (customer, accounts and file copies) is usually bound 50 sets to a book: 50 sets is standard, and 25 and 100 also run. The number of usable forms is the sets per book multiplied by the number of books, so state both rather than a single total.

State the number of copies per set, sets per book and total books required. If you need loose sets or pads instead, explain how they will be stored and used.

Specify numbering without ambiguity

Write the intended starting number, prefix and number of digits. Include a sample showing the complete format. State whether the same number should appear on every copy in the set, where it should sit and how subsequent books should continue the sequence.

Check the last number used in your current records before submitting the brief. Describe any separate series for departments or locations. Ask for the numbering sequence to be included in the proof so it can be checked alongside the artwork.

A small sample is more helpful than the instruction “continue as before” when the previous job is not attached.

Make the form comfortable to complete

Give handwriting enough space. Test long names, item descriptions and the largest amount of information that staff normally enter. Keep preprinted backgrounds and dense boxes from competing with handwritten entries.

Identify the binding edge, retained copy and any tear-off requirement. Mark where a perforation is intended and explain which sheets should detach. Ask how these choices affect the usable writing area.

If the form will pass through another printer, name the exact equipment and process. Do not assume that every carbonless paper is suitable for every machine.

Review a sample workflow

Print an ordinary-paper mockup at the proposed size and let someone complete it using realistic fictional details. Check field order, signatures, numbering position and filing. Use this to refine the layout before asking about a suitable production sample.

See NCR books and related business stationery. Request a quote with a blank example, copy allocation, numbering sample, quantity and required date. Keep real customer records out of an initial artwork example.

Same-day and urgent printing available. Subject to artwork approval, payment, print type and production availability. Timing confirmed per job.

Frequently asked questions

What is an NCR form, and does it need carbon paper?

No separate carbon sheet is needed. NCR forms are commonly described as carbonless forms: they create copies across multiple sheets without inserting a separate carbon sheet. The appropriate paper construction and printing process still need to be confirmed for the job. If the form will pass through another printer, name the exact equipment and process, because not every carbonless paper is suitable for every machine.

How do I state the quantity when ordering NCR bill books?

Give the number of copies per set, sets per book and total books required. 50 sets per book is standard, and 25 and 100 also run. A set is one completed form with its associated copies, while a book contains a stated number of sets, so they are different units and both belong in your quantity. If you need loose sets or pads instead, explain how they will be stored and used.

How should I specify running numbers on receipt books?

Write the intended starting number, prefix and number of digits, with a sample showing the complete format. State whether the same number appears on every copy in the set, where it sits and how subsequent books continue the sequence. Check the last number used in your current records, describe any separate series for departments or locations, and ask for the numbering to be included in the proof.

Should every copy in an NCR set carry the same wording?

Not necessarily. Decide who receives each copy first, then use clear copy labels if they help staff, such as Customer copy or Office copy. If a particular copy needs different wording, identify that difference explicitly rather than assuming every sheet carries identical content or that colour alone will explain the workflow. Ask which copy colours and constructions are available for the proposed specification.

How can I test an NCR form layout before ordering?

Print an ordinary-paper mockup at the proposed size and let someone complete it using realistic fictional details. Check field order, signatures, numbering position and filing, test long names and item descriptions for handwriting space, and mark the binding edge, retained copy and any perforation. Keep real customer records out of an initial artwork example.
